1. What is all this about?

For example those who applied for permanent residence in Canada will see how their immigration application is being processed; applicants refused in their temporary visa applications will see detailed reasons for refusal to address the issues when re-applying.

Information from the visa file (often referred to as GCMS) is requested and received legally. Requesting the visa file does not affect the application in process in a negative way.

2. Shall I use this service?

You may need this service if you are immigrating to Canada, applied for any Canadian visa, work permit, study permit or there is any other file under your name that was or is being processed by Citizenship and Immigration Canada.

By requesting information via cicgcmsnotes.com you will receive printout from the application processing system with various data about the application and, most importantly, notes and decisions of the immigration officers.

You probably won't need this service if your application was approved by Citizenship and Immigration Canada and you don't want to know anything about how it was processed.

3. How is my information retrieved?

Canadian laws allow an individual to request various information from Canadian government authorities. In particular, one may request his own visa file from Citizenship and Immigration Canada. This is made possible by the Access to Information Act of Canada.

There are certain limitations to keep in mind. First, some specific information may not be released to the requester — for example something that may negatively affect government investigations or some sensitive information of a third party. Second, the information can be released only to the Canadian citizen, permanent resident or a person physically present in Canada.

4. What is GCMS?

By 2010 all Canadian visa offices outside of Canada began using GCMS — "Global Case Management System". This is a new system; since 2010 all new visa applications are being processed in GCMS, while many older files are still being processed in CAIPS.

5. What do I need to get GCMS?

To request the information from your visa file you will have to provide general information about the adults included in the application — their names and dates of birth.

  • You will also have to provide details about the visa file — its number, application type (temporary visa, immigration etc.) and location of the visa office processing the application (just city and country).
  • If you don't know your visa file number, you may proceed without it. It may take a little bit longer to locate the file and receive the information.

6. How soon shall I get my visa file information?

In most cases the requested information is provided in 35 calendar days.

Please note that we have no control over the process and cannot speed up processing. 35 days is the time required by Citizenship and Immigration Canada, not by cicgcmsnotes.com. Immigration authorities are required by law to provide the information in specific time; this requirement is met in most cases. If more time is required to process a request, we receive a delay notification and forward it to the applicant.

In very rare cases it takes from 40 to 60 days to receive the information. It is extremely unlikely that your request will take more than that.

7. Is my personal info protected?

We respect your privacy. To process your request we ask you to provide only the most necessary personal information required to receive your file.

When we receive your visa file information from Citizenship and Immigration Canada we perform several checks to make sure that it is forwarded only to the person who requested it, and not to any other person.

Please note that the requested information is emailed to the address you use to send us the signed authorization form. If another person have access to this email account, consider using another one that no other person can access.

8. How is the requested information sent to me?

The requested information is received from CIC either in hard-copy or in electronic form.

Regardless, you will receive the requested visa file information via e-mail. It will be sent to you on the same day we receive it from Citizenship and Immigration Canada.

Please note that the requested information is emailed to the address you use to send us the signed authorization form. If another person have access to this email account, consider using another one that no other person can access.

9. Can I get comments on my file?

There are two main reasons why we cannot interpret your GCMS immigration file.

First, plain text notes of the immigration officers that can be found in every file that is being actively processed are usually clear and self-explanatory.

Second, there are comprehensive online resources that help to understand the meaning of abbreviations found in GCMS files — just google them out.

10. How much does it cost?

All information requests submitted directly from cicgcmsnotes.com are $40 US.

This also includes the government processing fee as per the Access to Information Act of Canada.

If you need to request any other information in addition to or instead of GCMS information from your visa file, the price will be different. Please inquire to get your quote.

Examples of information that can be requested are complete copies of all documents contained in your visa file, medical reports (including X-ray images), Canadian border crossing records, information processed in the systems inside Canada etc.

11. Will it affect processing anyhow?

Requesting information won't have any negative impact on your immigration case since such requests are absolutely legal under the Access to Information Act.

In fact requesting visa file records often triggers some action in the case — many people request GCMS information more than once and share their experience demonstrating that requests are often followed by officers' decisions, inquiries, checks and so on.

It is not uncommon that applicants request their visa file information 5 and more times during the period when the application is being processed.

12. When the information was or will be taken from the system?

You never know for sure the exact date when the requested information will be retrieved from the processing system.

If you request your visa file information now, the actual data may be extracted from your file within a few days or within a few weeks.

Sometimes you have a clue in the report itself — officers' notes are dated, and if records were entered recently, you may roughly estimate the report date.

GCMS reports usually contain explicit information about when the report is generated. However, there is still no way to guess the date when you place the order.

13. Will you refund me if I feel that there are reasons for that?

You will receive the refund if the requested information has not yet been provided and you decided not to proceed with the request within 45 days from the payment date.

You will not receive the refund if:

You already placed an order and if it is under process.
You already received the requested information (even if it does not meet your expectations).
The information cannot be provided due to wrong and/or insufficient details provided by you.
You decided not to proceed with the information request after 45 days passed from the payment date.

In all cases we refund full amount less $5 non-refundable government processing fee.
